The OpenItem3 mobile app collects information to enhance user experience, maintain functionality for enterprise workflow automation, and comply with legal requirements. We are committed to transparency in our practices and handle all user data responsibly.
Important Notice: This privacy policy covers Wyobi's collection and processing of data through the OpenItem3 Fleet mobile app. However, as this is an enterprise B2B application, your employer (the data controller) has their own privacy policies that govern how they collect, use, and manage your employment-related data. We strongly encourage you to review your employer's privacy policy to understand their data practices, retention requirements, and your rights as an employee. Your employer's policies may impose additional requirements or restrictions beyond what is described in this policy.
Information We Collect
Personal Information
- Name, Email, and Contact Details: Provided by your employer, implementation partners, or authorized administrators during account creation via the backend management system. Users cannot self-register through the mobile app.
- Organizational Affiliations: Employer details for license validation and enterprise feature access.
Device and Usage Information
- Device Details: Model, operating system version, unique device identifiers, IP address, and network information.
- Biometric Data: On enterprise devices with biometric capabilities, we may collect and process biometric information including fingerprint, facial recognition, and iris scans. This data is used for identity verification, secure authentication, and workflow authorization as determined by your employer's requirements, device capabilities, implementation specifications, and organizational policies. Biometric data is processed locally on the device when possible and is subject to your employer's biometric data policies.
- Location Data: We collect precise GPS coordinates for navigation, asset tracking, and workflow location-based features. Background Location: We collect background location data to enable real-time fleet tracking, asset recovery, and workforce monitoring even when the app is closed or not in use. This allows employers to track employee locations during work hours, optimize routes, and ensure safety compliance for field operations. Your Control: You may opt out of background location tracking through your device's permission settings. However, if your employer enforces location tracking through Mobile Device Management (MDM) policies or employment agreements, these permissions may be required as a condition of employment.
- Performance Diagnostics: Crash reports, app usage statistics, and error logs to improve app stability.
- Sensor and Hardware Data: Information from microphone (for voice notes and speech-to-text), camera (for photo/video capture), Bluetooth (for beacon and BLE tag detection), NFC sensors, and printing devices.
Enterprise-Specific Data
- Workflow Content: Documents, items, and tasks processed within the app for workforce management.
- Asset and Inventory Data: Barcode scans, RFID, and IoT device interactions for inventory tracking.
- Communications: Voice notes, video calls, and messaging related to enterprise workflows.
We collect this information through system permissions, user inputs, and integrated third-party services essential for app functionality.
How We Use Information
- Provide and maintain services: Enable core features like navigation, asset tracking, voice recordings, and printing.
- Improve performance: Analyze usage patterns and diagnose issues to enhance app functionality.
- Compliance and security: Ensure data integrity, validate licenses, and prevent unauthorized access.
- Enterprise integration: Facilitate data synchronization with enterprise systems.
We do not use collected data for marketing or external advertising purposes.
Data Sharing and Disclosure
We do not sell, rent, or lease personal information to third parties. We share personal information in the following limited circumstances:
- Employers and Enterprise Partners: Location data, workflow data, and all other personal information collected through the app IS shared with your employer, company controllers, and designated enterprise partners, including training partners, support partners, implementation partners, and resellers. This sharing is essential for enterprise workforce management, operational oversight, and support services.
- Legal Obligations: When required by applicable law, court order, or regulatory mandate.
- Business Transitions: In the event of mergers, acquisitions, or asset transfers, provided that adequate protections are maintained and recipients commit to handling the information in accordance with this Privacy Policy.
We do not share data with third-party advertisers or marketing services. Data sharing is limited to operational and support purposes as outlined above.
Third-Party Services
The app integrates with the following third-party services for location and mapping functionalities:
- Google Play Services: Used for location services, mapping, and core Android functionalities. Google's privacy policies apply to their services.
- HERE Maps: Used for advanced mapping, routing, and navigation features. HERE Technologies' privacy policies apply to their services.
- OpenStreetMap: Used for open-source mapping data and tile services. OpenStreetMap Foundation's privacy policies apply to their services.
These integrations are essential for the app's core functionality. No third-party analytics, tracking, or advertising services are utilized beyond these operational requirements.
Data Security
Wyobi is committed to protecting the personal and sensitive information of its users in accordance with applicable laws and regulations. We implement a range of appropriate technical and organizational measures to ensure the security, confidentiality, and integrity of personal information, including:
- Encryption of data in transit and at rest on our servers.
- Encryption on the mobile device where enabled by the device or app settings.
- Strict access controls limiting data access to authorized personnel only.
- Regular security audits and vulnerability assessments.
While we strive to protect information, please be aware that no method of transmission over the internet or electronic storage is 100% secure. In the unlikely event of a breach, we will notify affected users and relevant authorities as required by law.

We ensure that such transfers comply with GDPR and POPIA requirements through adequacy assessments, Standard Contractual Clauses, or other appropriate safeguards as prescribed by data protection authorities.

We retain personal information for no longer than necessary to achieve the purposes described in this Policy, or as required by applicable laws such as GDPR and POPIA. Retention periods are determined based on the type of information and legitimate business needs. Upon request, account deactivation, or when data is no longer required, we securely delete, anonymize, or archive the information in accordance with legal requirements.

Enterprise Account Management
Important: This is a Business-to-Business (B2B) enterprise application where your employer acts as the data controller and Wyobi serves as the data processor. Account creation, management, and deletion are controlled through the backend management system by your employer or authorized administrators.
To Request Account Deletion or Data Erasure:
- Contact Your Employer: As the data controller, your employer manages your account lifecycle. Submit your deletion request to your employer's designated administrator or HR department.
- Contact Wyobi Directly: You may also submit deletion requests directly to us at info@wyobi.com. We will coordinate with your employer to process your request in accordance with GDPR/POPIA requirements and legitimate business interests.
- Formal Requests: For formal requests under POPIA/PAIA, use our Request for Access to Record Form and Fees Schedule.
We will respond to all requests promptly and within the time frames mandated by law, typically within one month or thirty days as per POPIA. Please note that certain employment-related data may be retained for legitimate business purposes, legal compliance, or contractual obligations even after account deletion.
Children's Privacy
The app is designed for enterprise use and is not intended for children under 13. We do not knowingly collect data from individuals under this age.
Changes to This Policy
We may update this policy periodically. Significant changes will be communicated via in-app notifications or email. Continued use of the app constitutes acceptance of updates.
